Role Description
SignalFire is looking for a Senior Director of Portfolio Operations to be the "operational glue" connecting our investing, portfolio success, and back office teams. This individual will optimize internal systems, from data architecture to workflow automation, and develop "always-on" intelligence for key performance indicators. This role is a unique opportunity to shape our internal architecture, empower our portfolio companies, and transform data into actionable insights for continuous growth and success.
We are seeking a visionary operational leader with a builder's mentality who thrives in ambiguity and is motivated by helping founders succeed. The ideal candidate will have operating experience in early and growth-stage companies, strong technical acumen, and the analytical rigor to turn data into compelling stories. Join us to make a tangible impact on the future of venture capital and the success of groundbreaking startups.
What You'll Do
Internal Systems Integration & Optimization
Assess current workflows, tooling, and data flows across all Portfolio Success functions to identify optimization iterations.
Identify and deploy automations within the firm’s broader systems (including but not limited to CRMs) to increase efficiency, reduce manual work, and improve data accuracy.
Provide recommendations and guidance to other Portfolio Success teams on automation opportunities and process enhancements.
Design a unified operating framework to ensure cross-team coordination and eliminate silos.
Augment and maintain shared dashboards and reporting structures for tracking engagement, activation, and outcomes.
Playbook Development & Deployment
Build standardized, repeatable playbooks for firm-wide initiatives (e.g., founder onboarding, network activation, cross-portfolio programs).
Ensure playbooks are actionable, measurable, and adaptable across sectors and company stages.
Codify best practices from past programs into reusable templates and SOPs.
Portfolio Company Support
Partner with SignalFire’s Portfolio Success team (Marketing, Talent, Operating Partners, etc.) to deliver scalable, repeatable services for portfolio companies.
Establish closed-loop feedback mechanisms (e.g., CSAT, founder NPS, Deal Team feedback) and internal portfolio assessments to continuously refine how Portfolio Success services are defined and delivered.
Assist in the development of success metrics for each initiative and monitor progress against them.
Act as the central project manager, ensuring deliverables are completed on time and meet quality standards.
Data & Insights
Lead analysis efforts that turn data into clear, actionable insights for firm leadership and drive continuous improvements.
Define practical measures of key motions across the firm and with the portfolio, providing insights and greater alignment (OKRs, KPIs, etc.).
Synthesize data into insights highlighting impact, gaps, and opportunities for optimization.
Manage quarterly “portfolio success health” reporting for internal leadership and LP updates.
Cross-Team Communication & Enablement
Facilitate regular cross-functional syncs to share updates, surface needs, and align priorities.
Create internal resource hubs, guides, and dashboards to ensure all team members can easily access relevant information.
Act as the go-to liaison for resolving cross-team bottlenecks or coordination challenges.
What You'll Bring
Operating Experience: Experience scaling at least one early-stage startup or venture platform known for operational excellence.
Revenue Operations / Business Operations Expertise: Proven background working in a RevOps or BizOps capacity, with a track record of systems optimization and cross-functional enablement.
Technical Acumen: Hands-on experience with CRMs and related tools; capable of managing engineers to scope and oversee the build of workflows, automations, and integrations (including AI-driven tools).
Analytical Rigor: Highly data fluent — skilled in cleaning, analyzing, and presenting insights through dashboards and reports.
Builder Mentality: Comfortable in dynamic environments, adept at creating structure, and proactive in driving execution in often ambiguous environments.
Strong Communication & Stakeholder Management: Able to influence without direct authority and align diverse teams around shared objectives.
Culture Alignment: Scrappy, humble, curious, collaborative — motivated by helping founders, startups, colleagues, and their business succeed.
