Job Summary

Reporting to the Manager, Total Rewards & HRIS, the Total Rewards Specialist will play a crucial role in support for a variety of tasks that help foster an incredible employee experience. This role is Hybrid, in office days Monday, Tuesday, & Thursday.

Team/Department Overview: People Team – Reporting to the Manager of HRIS & Total Rewards.

Responsibilities:

Benefits Role & Responsibilities

  • Support Manager with the administration of Flock Health & Wellness Programs including, but not limited to Open Enrollment tasks, benefit auditing, review of file feed issues, and working with vendors , including brokers and benefit plan administrators, assisting employees to help resolve benefit-related concerns.
  • Respond to employee questions and inquiries in Flock benefits gmail account and in Slack that requires knowledge of plan provisions, benefit enrollments, status changes and other general inquiries.
  • Develop clear and engaging communications regarding benefits programs and updates.
  • Assist with People Team events including but not limited to, engagement activities and campaigns around benefits.
  • Monitor COBRA data and ensure it is accurate and up to date in the vendor database.
  • Assist Manager to coach other team members on Benefit related activities.

Leave of Absence & Accommodation Responsibilities

  • Serve as the primary point of contact for employee work accommodation requests, including medical, religious, and other legally protected needs
  • Manage the end-to-end interactive process, including intake, documentation, evaluation, and implementation of reasonable accommodations
  • Partner with employees, managers and legal counsel to assess requests and determine appropriate accommodations in compliance with applicable laws (e.g., ADA, FEHA)
  • Review medical documentation and ensure all records are handled confidentially and in accordance with privacy requirements
  • Track and maintain accommodation cases, ensuring timely follow-up, documentation, and resolution
  • Provide guidance and training to managers on accommodation processes, expectations, and best practices
  • Collaborate with cross-functional partners (People Ops, Legal, Payroll, Benefits) to ensure seamless execution of accommodations
  • Monitor trends and recommend process improvements to enhance employee experience and operational efficiency
  • Ensure compliance with federal, state, and local regulations related to accommodations and leave management
  • Support audits, reporting, and policy development related to accommodations

HRIS Role & Responsibilities

  • Ensure the accuracy and integrity of employee data in UKG.

  • Provide support, troubleshooting, and guidance within our UKG for employees, both current and former, and members of management.

  • Support process improvement initiatives for Flock’s HRIS

  • Generate and analyze reports related to compensation, benefits, and compliance.

  • Maintain and administer compensation processes in UKG, ensuring accuracy and compliance.

  • Provide support for compensation-related reporting and compliance activities, including EEO-1 data reporting.

Other Responsibilities

  • Answer routine questions and inquiries in peopleops gmail account that require knowledge of established departmental procedures and familiarity with operations and programs within the People Team

  • Assisting team with employee onboarding experience process from pre-employment to the first week and beyond in UKG

  • Assisting team in responding to all Verification of Employment

  • Assisting team to monitor background checks

  • Assist with processing of terminations in UKG and paperwork attached to the termination process

  • Review existing processes to identify opportunities for improvements; Define obstacles and look at root cause challenges to recommend process and procedure improvements to Manager

  • Provide HR support on special projects such as All-hands decks and data entry tasks

  • Be a team player! You will contribute to other projects as needed across multiple teams and organizations.

    Qualifications:

    • A passion for creating a fun and engaging employee experience
    • 3+ years experience in employee benefits administration, with a strong understanding of benefits regulations and compliance
    • Minimum 2 year experience working in UKG
    • Minimum 1 year of experience with Leave Administration
    • Strong analytical skills and the ability to interpret data to make informed decisions
    • Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of employees and third-party vendors
    • Ability to manage multiple projects and priorities, meet deadlines, and work independently with minimal supervision
    • Advanced Excel/Google Sheets skills
    • #All-In and a positive attitude!
    • SHRM Certified Professional (SHRM-CP) or Professional in Human Resource Certificate (PHR- HRCI) is a plus

      Compensation

      The expected salary range for this position is $80,000 - $93,000 per year. This reflects typical earning potential in this role based on market data and individual factors including skill sets, experience, and geographic location. In addition to salary, full-time employees are eligible for an equity package and competitive benefits that support you and your family as part of your total rewards package at Flock Freight. We target candidates local or willing to relocate to Flock Freight’s San Diego headquarters.
