The Opioid Epidemic is a public health crisis with a highly effective but underutilized clinical intervention - millions of Americans are physically dependent on Opioids but only 10% of those likely to have OUD actually access treatment. Bicycle Health addresses this gap by maximizing accessibility, affordability, and overall quality of care by enabling highly qualified clinicians to reach patients broadly and efficiently through our online platform.

The Operations Manager is charged with completion of necessary operational projects in order to deliver operational support experience for clinical teams. The Operations Manager’s work crosses within functional areas of the Clinical Operations team and will work in coordination with other departments to increase patient access to care. This position is responsible for duties related to provider access capacity/scheduling, facilities management, national expansion, drafting policies and procedures, special projects and event planning when needed.

You can expect to:

Growth/Access

  • Responsible for managing the patient scheduling strategy and execution to help drive growth.
  • Assist with entering appropriate dates to block and unblock appointment slots on provider calendars if needed.
  • Maintain/grow provider panels while accommodating transfers where necessary to ensure panels are clean and providers are ramping efficiently.
  • Manage day-to-day operations including paid time off (PTO) requests, CME and clinician scheduling once clinicians have completed their onboarding period. This includes on-call and admin/clinical time.
  • Work with leadership to execute on National Expansion.
  • Interface with product and analytics team to build out a reporting dashboard specific to scheduling/capacity.

Facilities:

  • Manages and oversees real estate procurement, setup, location branding, and ongoing maintenance of individual offices in each of the 32+ states where Bicycle Health operates.
  • Strategically manage property identification, real estate lease negotiations, move in, set up of signage, equipment, and maintenance of all leases, as well as any contracts and service agreements.
  • Manage the implementation of the company's computer equipment, including any electronic building security and suite access systems, to the company locations.
  • Responsible for all physical location operations to ensure compliance with all federal, state, and local regulations.
  • Maintain a database of office locations, suite numbers, phone numbers, and routinely update and communicate this information to the COO, CMO and provider team.
  • Collaborate with the licensing and provider success teams on DEA requirements for local provider offices.
  • Develop and maintain sound and efficient policies and procedures for all locations.
  • Develop and implement a program of facility quality control to ensure contracted property managers and their staff consistently uphold our brand and other business standards.
  • Ensure successful outcomes of any facility inspections by regulators including the DEA.
  • Ensure the facilities department is a reliable resource for support to employees and patients and provides leadership and support for individual facilities on site staff.

Operations

  • Draft/Roll-out on-call schedule on a quarterly basis.
  • Document workflows and standard processes within Clinical Operations Playbook.
  • Create policies/job aids for providers and the licensing/credentialing team.
  • Manage daily project operations, perform detailed information gathering, analysis and investigation; provide recommendations and escalate immediate decision making as needed.
  • Execute on daily operations and long-term projects.
  • Create policies and procedures to standardize and scale operations.
  • Coordinate with necessary departments across the company.
  • Foster collaborative, interdisciplinary team culture; be a clinician advocate across the company.

Other

  • Track progress of various responsibilities and projects in Clinical Operations tools and spreadsheets (i.e Asana, GSheets, etc).
  • All other duties as assigned.

Qualities we're looking for:

  • Bachelor's degree in healthcare operations or related field and/or equivalent years of experience.
  • Minimum 4 years experience in operations/facility management preferred.
  • Has broad scope of industry knowledge and dynamic business acumen toward directing forward-thinking facilities operations and management for multiple business locations.
  • Previous experience with analytical interpretation fluency, ability to retrieve data and create insights that drive decisions.
  • Previous schedule management experience with scheduling and access management in addition to process improvement initiatives.
  • Knowledge of project management, credentialing, onboarding, training and schedule management.
  • Proficient computer skills with proficient experience in using modern technology systems such as Google platform, project management tools and a CRM.
  • Exposure in a fast-paced, high growth healthcare environment.
  • Excellent organizational, collaborative and interpersonal skills with the ability to multitask and prioritize tasks.
  • Experience with organization-wide initiatives and the ability to work effectively and collaboratively in an environment of constant change.
  • Must demonstrate strong verbal and written communication skills.
  • Consistent access to a private work environment with high speed internet and professionally appropriate surroundings for frequent video conferencing and a workstation setup conducive to remote work needs.

Compensation and Benefits:

  • Target Pay Range: $79,000 - $93,500 annually - Compensation to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.'

This is a full-time (40hrs per week) remote position.
